Overview
The Templates tab lets you create reusable invoice templates and automation templates. The Automation tab lets you set up recurring invoice generation for active leases.
Invoice Templates
Invoice templates save your company branding and default settings so you do not have to re-enter them every time you create an invoice.
Creating a Template
Click Create Template and fill in:
- Template Name - A descriptive name (e.g., "Standard Rent Invoice")
- Company Information - Your business name, address, and contact details
- Notes - Default notes to appear on invoices
- Payment Terms - Default terms (e.g., "Net 30", "Due on receipt")
- Payment Instructions - Default instructions (e.g., "e-Transfer to billing@yourcompany.com")
- Color Scheme - Choose primary, secondary, and accent colors for branding
- Logo - Upload your company logo
- Layout Options - Configure which fields to display (invoice number, due date, payment terms)
Using Starter Templates
Two starter templates are available to get you going quickly:
- Basic - A clean, minimal design with standard formatting
- Professional Blue - A modern design with blue tones and full line-item detail
Click Use Template on any starter to create a copy you can customize.
Managing Templates
- Preview - See how the template looks on a sample invoice
- Edit - Modify any template settings
- Duplicate - Create a copy of an existing template
- Delete - Remove a template (this does not affect invoices already created with it)
- Set as Default - Mark a template as the default for new invoices
Automation Templates
Automation templates define the rules for recurring invoices, including:
- Name and Description - Identify the automation
- Frequency - Monthly, quarterly, or custom schedule
- Amount Type - Use the lease rent amount or a fixed amount
- Line Items - Pre-defined charges to include
- Tax Settings - Whether to include HST and at what rate
- Late Fees - Optional late fee configuration (flat amount or percentage)
- Invoice Template - Which invoice template to use for branding
- Payment Method - Expected payment method
- Auto-Send - Whether to send invoices automatically or save as drafts
Automation Tab
The Automation tab shows all your active and inactive invoice automations linked to leases.
Setting Up Auto-Invoicing
- Click Set Up Auto-Invoicing on any active lease without automation
- Select an automation template (or create one)
- Choose the payment method and schedule
- Enable the automation
Managing Automations
- Enable/Disable - Toggle automations on or off with the switch
- Card View vs. Table View - Switch between visual cards and a compact table layout
- Filters - Filter by status (active, paused), property, or automation type
Upcoming Runs
View a list of scheduled invoice generation runs, showing:
- Which lease and tenant the invoice will be for
- The expected amount
- The scheduled generation date
Run History
Review past automation executions to see:
- When each invoice was generated
- Whether the run succeeded or encountered errors
- The invoice amount and recipient
- A link to the generated invoice
