
Getting There
From your dashboard sidebar, click Applications. You will see a list of all applications organized by status. Click on any applicant's name or the View button to open their full Application Detail page.
The Status Banner
At the top of the Application Detail page you will find a status banner with several key elements:
- Current Status Badge showing where this application stands (New, Under Review, Background Check, Reference Check, On Hold, Conditionally Approved, Approved, or Rejected)
- Update Status dropdown to move the application through your workflow stages
- Calculate Score button (appears when no screening score exists yet) to generate an automatic screening score based on the applicant's information
- Export button to download the application details
- Approve button (green) to approve the applicant
- Reject button (red) to reject the applicant with an optional reason
Once an application reaches Approved or Rejected status, the Approve and Reject buttons will no longer appear.
The Left Sidebar
On the left side of the page you will see an applicant snapshot card that gives you a quick overview:
- Applicant photo and full name
- Email address and phone number
- The property and unit they applied for
- Monthly rent amount
- Date the application was submitted
- Screening score (if calculated)
- Income-to-rent ratio
This sidebar stays visible as you navigate through the different tabs so you always have the key details at a glance.
Tab-by-Tab Walkthrough
The main content area is organized into 8 tabs. Here is what you will find in each one.
Applicant Tab
This is the default tab showing the applicant's personal information:
- Full name, email, and phone number
- Date of birth
- Current address
- Desired move-in date
- Vehicle information (make, model, license plate)
- Whether they have pets (and pet details)
- Smoking status
- Any additional notes the applicant provided
Employment Tab
Employment and work history details:
- Current employer name
- Job title or position
- Monthly or annual income
- How long they have been employed there
- Employment verification status
Financial Tab
A financial overview of the applicant:
- Monthly income amount
- Income-to-rent ratio displayed as a visual gauge (green for strong ratios, yellow for moderate, red for concerning)
- Additional income sources if provided
- Credit score if available
The income-to-rent ratio helps you quickly assess whether the applicant can comfortably afford the rent. A ratio of 3:1 or higher is generally considered strong.
References Tab
Contact information for the applicant's references:
- Previous landlord references with name, phone, email, and duration of tenancy
- Personal or professional references
- Any notes or comments from reference checks you have conducted
Documents Tab
This tab shows all documents the applicant has uploaded:
- Documents appear in a thumbnail grid that you can click to view or download
- If there are co-applicants, documents are grouped by person
- You can request additional documents using the Request Documents button (see the Requesting Documents section below)
Screening Tab
The screening tab is your risk assessment center:
- Screening Score displayed prominently with a color-coded badge
- Profile Assessment showing an overall rating (Excellent, Good, Fair, or Needs Review)
- Red Flags section highlighting any concerns found during screening
- Verification Panel with three key checks:
- Identity Verification (ID document check)
- Credit Check (credit history and score)
- Background Check (criminal and eviction history)
- Certn Integration for running professional background screening if you have Certn connected
Each verification item shows its current status (Not Started, Pending, Passed, or Failed) so you can track what has been completed.
Communication Tab
Stay in touch with the applicant directly from the application:
- Quick Contact buttons to send an email or make a phone call
- In-App Conversation Thread where you can exchange messages with the applicant without leaving the page
- Message history is preserved so you can review past communications
This is especially useful for asking quick follow-up questions or clarifying details on the application.
Scheduling Tab
Manage property viewings for this applicant:
- Viewing Toggle to enable or disable viewings for this application
- When viewings are enabled, you can schedule viewing appointments for the unit
- The applicant will be notified of available viewing times
Activity Log and Timeline
Below the tabs you will find an activity log that tracks every important event:
- When the application was submitted
- Status changes (with who made them and when)
- When documents were uploaded or requested
- When screening checks were initiated or completed
- Key dates in the application lifecycle
This gives you a complete audit trail of everything that has happened with this application.
Requesting Documents
When you need additional paperwork from an applicant, click the Request Documents button in the Documents tab. A dialog will appear with:
- Common Document Types as checkboxes for quick selection:
- Photo ID (Driver's License or Passport)
- Proof of Income (Pay Stubs or Tax Return)
- Employment Verification Letter
- Bank Statements (Last 3 months)
- Credit Report
- Proof of Tenant Insurance
- Custom Request text field where you can describe any other documents you need
- Send Request button to email the request to the applicant
The applicant will receive an email notification listing exactly which documents you need, along with an in-app notification. You can check back in the Documents tab to see when they upload the requested items.
Making Your Decision
When you are ready to make a decision on an application:

To Approve: Click the green Approve button in the status banner. The application status will change to Approved and the applicant will be notified.

To Reject: Click the red Reject button. You can provide a reason for the rejection which helps maintain professional communication with the applicant.

To Move to Review: Use the Update Status dropdown to select a stage like Under Review, Background Check, or Reference Check. This keeps your pipeline organized and lets you track where each application stands.

To Put On Hold: Select On Hold from the Update Status dropdown if you need more time or are waiting on additional information.

To Conditionally Approve: Select Conditionally Approved if the applicant meets most criteria but there are conditions that need to be met before full approval.
Take your time reviewing all the tabs before making a final decision. The screening score, income-to-rent ratio, references, and documents together give you a complete picture of the applicant.
